Exports

The Export center is where you pull data out of AnchorPoint as a spreadsheet. You choose what to export, narrow it down with filters, and queue the job — AnchorPoint builds the file in the background so you don't have to wait on the screen. Finished exports stay available for download from the Completed tab.

Open Admin > Exports. The page is titled Export center and has three tabs:

TabWhat It's For
New exportConfigure and start a new export
In QueueExports that are waiting, building, or have failed
CompletedFinished exports, ready to download

Some links in AnchorPoint point to /exports/new. That's the same Export center screen with the New export tab already selected — not a separate page.

Creating an Export

The New export tab walks you through three numbered steps on one screen.

Step 1 — Choose What To Export

Pick one of six data types. Each card shows how many records are currently available.

TypeWhat It Contains
StudentsStudent profiles — names, contact details, addresses, balances
ClassesScheduled classes with their course, dates, location, and instructors
PaymentsPayments received, and the classes they were applied to
InstructorsInstructor records
LocationsLocations and their addresses
RegistrationsIndividual enrollments — which student is in which class

Students is selected by default.

Switching the export type clears any filters you've already set. Choose your type first, then filter.

Step 2 — Apply Filters

Filters are described on screen as "All optional - leave blank to export everything." The available filters change depending on the type you picked.

Export TypeAvailable Filters
StudentsCreated between · Enrolled in a class between · Address state · Only students with an outstanding balance
ClassesClass held between · Location state · course · Instructor (select as many as you need)
PaymentsPaid between · Associated class held between · course
RegistrationsRegistered between · Within class held between · course · Instructor
InstructorsCreated between
LocationsLocation state

Every date range has shortcut chips beneath it — Last 7 days, Last 30 days, This month, and This quarter — plus a Clear chip once a date is set.

If you set an end date earlier than the start date you'll see "End date must be after start date" and won't be able to continue.

Step 3 — Start the Export

The bottom section shows an Estimated export — how many rows the file will contain and roughly how large it will be, based on the filters you've set. Both update as you change filters.

Click Start Export. You'll see a confirmation that the export has been queued, and the page switches to the In Queue tab so you can watch its progress.

Start Export is disabled when the estimate comes back as 0 rows. Loosen your filters until the estimate shows results.

There's no column picker and no format choice — the file format is set by AnchorPoint, and exports are delivered as spreadsheet files.

Tracking an Export

In Queue

Shows exports that are still working, plus any that failed. The list refreshes itself every few seconds while a job is running, so you don't need to reload the page.

StatusWhat It Means
QueuedWaiting its turn. The row shows Waiting…
ProcessingBeing built now. The row shows a progress bar
FailedSomething went wrong

If several exports are running at once you'll see a notice that new jobs may take longer.

Empty state: "No exports yet. Queue one from the New export tab to see it here."

Completed

Shows exports that have finished, failed, or expired.

StatusWhat It Means
ReadyFinished and available to download
FailedThe export didn't complete
ExpiredThe file is no longer available and needs to be run again

Use the search box (Search by export name...) to find an older export, or narrow the list with the filter menu:

  • Export Type — show only one data type
  • Created from / Created to — limit by when the export was requested

Empty state: "No matching exports."

Reading an Export Row

Exports are listed as rows rather than a table, so there are no column headers. Each row shows:

PartWhat It Shows
Status pillQueued, Processing, Ready, Failed, or Expired
NameGenerated automatically from what you exported — e.g. Students — Outstanding balance · Created Jan 1, 2026 – Jan 31, 2026
DetailsThe row count, then how long ago it happened — "started 5 minutes ago", "ready 2 hours ago", "failed 1 day ago"
ActionDepends on the status (below)

A warning icon appears beside the name if the export completed but had issues worth reviewing. Hover it to read them.

Actions by Status

StatusWhat You Can Do
ReadyDownload — saves the file to your computer
QueuedNothing yet — the row shows Waiting…
ProcessingNothing yet — a progress bar runs until it's done
FailedRetry — requeues the same export. Hover the button to see why it failed.
ExpiredNothing — start a new export with the same filters

The Export Button on Other Pages

The Classes, Students, Locations, and Instructors pages each have an Export button beside their Create button.

Clicking it takes you to the Export center with that data type already selected and scrolls you to the Start Export step.

The Export button does not carry over the search or filters you had applied to the list, and it doesn't download anything on its own. Set your filters in Step 2 and click Start Export.

When Things Are Disabled

What's DisabledWhy
Start ExportThe current filters match 0 rows, or an export is already being submitted.
Filters you already setCleared automatically when you change the export type — set the type first.
Download on a Completed rowOnly appears on exports with a Ready status. Expired files must be re-run.
Actions on a queued or processing rowNothing to do until the file finishes building.
Record counts showing "—"The count is still loading, or couldn't be calculated for that type.

Key Relationships

  • Classes, Students, Locations, Instructors: each list page can hand you off to a matching export with one click.
  • Registrations and Payments: neither has a list page of its own — the Export center is how you get at that data in bulk.
  • Courses and Instructors as filters: the Classes, Payments, and Registrations exports let you narrow by course and instructor, so you can pull one program's data at a time.

Tips & Notes

  • Check the estimate before you start. The row count tells you immediately whether your filters did what you expected — far quicker than exporting and opening the file.
  • Use the date preset chips. "Last 30 days" and "This quarter" cover most reporting requests without touching the calendar.
  • Filter first, export once. A queued export can't be edited. If the estimate looks wrong, adjust filters before starting rather than exporting twice.
  • You don't have to wait on the page. Exports build in the background — start one, carry on with other work, and pick it up from the Completed tab later.
  • Expired means gone. Files don't stay available forever. If you need a copy for records, download it and store it somewhere permanent rather than relying on the Completed tab.
  • "Only students with an outstanding balance" is the fastest way to build a collections list — pair it with a date range to focus on recent classes.
  • Retry before you rebuild. A failed export usually just needs another attempt; hover Retry to see the reason first in case a filter caused it.
