Instructors
The Instructors section is where you manage the people who teach your classes. Each instructor is linked to a user account, can be approved to teach specific courses, and is assigned to classes on the schedule. USCG approval details are tracked both on the instructor and on each course they're approved for.
Navigating the Instructors List
When you open Admin > Instructors, you'll see a table of everyone set up to teach.
What Each Column Shows

Searching and Filtering
- Quick Search: Type in the search bar to find instructors by name or email.
- Archive Tabs: Switch between Active and Archived using the tabs above the table.
There are no other filters on this page.
Sorting
The default sort is by first name (A-Z). Click a column header to change it.
Clicking any row opens the instructor's drawer.
Creating an Instructor
Click the Create Instructor button in the top-right corner.
How the Form Works
Like the student form, this uses an email-first workflow. Every other field stays locked until you enter a valid email address, because AnchorPoint first checks whether that person already has an account.
What happens when you enter an email:
- If the email belongs to an existing user who isn't yet an instructor: an alert tells you which role they currently have, their name fills in automatically, and those fields lock. The new instructor record is linked to their existing account.
- If the email is already taken by an instructor: you'll see "A user with this email already exists." and can't continue.
- If the email is new: all fields unlock and you fill them in yourself.

The USCG Date field only appears when the "USCG Approved" checkbox is checked.
Viewing an Instructor
Click any row to open the instructor drawer. The title is their full name, with an Active or Archived chip beside it.
Quick Stats
Two figures sit at the top of the drawer, and both are clickable:

Tabs
The drawer has three tabs: Overview, Courses, and Classes.
Overview Tab
A read-only Instructor Details section listing Name, Email, Cell Phone, and Address. Anything missing shows as (Not provided).
Beneath it is a QSS Notes field, which saves automatically as you type. It's described in the app as documenting quality standard observations and compliance evidence related to this instructor for USCG audit purposes.
Courses Tab
The courses this instructor is approved to teach. Each row links through to the course and shows its USCG approval date — for example "USCG Approval: January 05, 2026", or "USCG Approval: Not provided".

Empty state: "No courses assigned to this instructor."
Classes Tab
Upcoming Classes for this instructor, showing up to ten classes starting today or later. Each card shows the course name, the location (or No location), the dates, the class code, and the capacity as a filled bar — or Unlimited when there's no cap. Cancelled classes carry a red Cancelled chip.
When there are five or more, a View All Classes link takes you to the Classes list filtered to that instructor.
Empty state: "No upcoming classes for this instructor."
Managing an Instructor
Choose Manage Instructor from the drawer or a row's three-dot menu. The drawer switches to a single Basic Info tab.

Click Save Changes to apply, or Cancel to discard. Closing the drawer with unsaved edits prompts you to confirm.
The create form labels the postal field Zip Code and the manage form labels it Postal Code. They're the same field.
Archiving an Instructor
Archiving keeps the instructor's history intact but takes them out of the active roster.
- From the list: choose Archive Instructor from the row menu. This applies immediately, with no confirmation.
- From the drawer: choose Archive Instructor from the drawer menu. You'll be asked to confirm — "Are you sure you want to archive "Full Name"?"
Unarchive Instructor brings them back. There is no delete — archive is how instructors are retired.

The three-dot menu on each row offers:

The same three options are available from the drawer's own menu, except that Manage Instructor is hidden while you're already editing, and archiving asks for confirmation first.
When Things Are Disabled

Key Relationships
- User Account: Every instructor is linked to a user account. The email address is what connects them, which is why the form checks it first.
- Courses: An instructor is approved to teach specific courses, each with its own USCG approval date. Approvals are managed from the drawer's Courses tab.
- Classes: Instructors are assigned to classes from the class page. The Classes tab here is a read-only view of what they're scheduled to teach.
- Instructor portal: Instructors signing in get their own view of their classes and students.
The Instructor Access section of the sidebar opens the legacy AnchorPoint system. It's documented separately.
Tips & Notes
- Start with the email. If the instructor already has an account — as a student, or from a previous role — their details fill in automatically and you avoid creating a duplicate person.
- Keep approved courses current. An instructor's Courses tab is what tells you who can legitimately teach what. Reviewing it before you build a schedule saves reassigning classes later.
- Track USCG dates in two places on purpose. The instructor-level date covers their general approval; the per-course date covers approval to teach that specific course. Both matter at audit time.
- Use the quick stats as shortcuts. Clicking Courses or Classes jumps straight to the right tab rather than scrolling.
- Archive rather than delete. Archived instructors stay attached to the classes they taught, so your class history and audit trail stay complete.
- QSS Notes save as you type. Use them to record observations while they're fresh — there's no Save button to forget.
