Registrations

A registration is the link between one student and one class. It holds everything about that enrollment — the pass/fail result, the certificate, the tuition, and every payment made against it. Registrations are managed through a single registration drawer that you can open from either side of the relationship: from a class's roster, or from a student's class history. The drawer works the same way in both places.


Opening the Registration Drawer​

There are two ways in, and they lead to the same screen.

Only two things change depending on where you opened it from:

Everything else — the tabs, the fields, and every action — is identical.

Both View Student and View Class open in a new browser tab, so you don't lose your place.


Adding a Registration​

You can enroll a student from either direction.

From a Class​

On the class page, click Add Student.

What You'll See in the Drawer​

The drawer header shows the title (student name or course name) and any status chips that apply:

Quick Stats​

Below the header you'll see three figures:

Quick stats are hidden when a registration is cancelled or deferred, since the figures no longer represent money due.

Overview Tab​

A read-only summary, grouped into sections. Blank values show as None.

Registration Details is hidden for cancelled registrations, and Test Passed Date is hidden when the student has been marked failed.

Registration Notes save automatically as you type — there's no Save button. Use them for anything specific to this student in this class: accommodations, attendance issues, or context another admin would need.


Certificate Tab​

Before a Result Is Recorded​

If the student hasn't been passed or failed yet, the tab shows:

Certificates are unavailable until a student has been marked as passed.

You can mark the result right there using the Pass Student or Fail Student buttons.

If the course has no certificate template configured, you'll see a notice instead. Add a template on the course before certificates can be generated.

After the Student Passes​

Version labels are Original (the first one issued), Current (the one in use now), and Superseded (replaced by a newer version).

Regenerating a Certificate​

Choose Regenerate, then enter a Reason for regeneration — for example, "Updated school logo" or "corrected typo in name". The reason is required and must be at least 3 characters.

The previous version is marked as superseded but stays in the version history. Nothing is deleted, so you always have an audit trail of what was issued and why it changed.


Payments Tab​

Tuition​

The top section shows how tuition was calculated:

  • Original Tuition — the class price
  • Adjustment Applied — any discount or price change, with the reason shown beneath it
  • Tuition Total — what the student actually owes
  • A footer line recording who applied the adjustment and when

Click Adjust Tuition to change it. See Adjusting Tuition below.

Payment History​

Each payment row shows a title (Card charged for credit card payments, otherwise the payment method), a status chip, the transaction ID or note, the date, and the amount.

Click Add Payment to record a new one.

Payments are taken in AnchorPoint itself. See Payments for recording, refunding and correcting them.

Alerts You May See​

  • Deferred registration: "When the attached deferral has been re-registered, these payments will be credited towards the new class."
  • Overpayment: a warning showing the excess amount paid toward the class. The registration is also flagged with an amber warning triangle wherever it's listed — hovering reads "Has excess funds paid".

Adjust Tuition and Add Payment are both disabled once a registration is cancelled or deferred.


Managing a Registration​

Choose Manage Registration from the drawer's three-dot menu to switch into edit mode. The tabs collapse into a single Basic Info tab.

Click Save Changes to apply, or Cancel to discard. If you try to close the drawer with unsaved edits, you'll be asked to confirm first.

The drawer's three-dot menu groups its options by what they do.

You can also reach Pass Student and Fail Student directly from the three-dot menu on any roster row, without opening the drawer.


Passing and Failing Students​

Pass Student​

The pass dialog collects everything needed to issue the certificate in one step.

A summary line at the bottom tells you exactly what's about to happen before you confirm.

If the course has no certificate template, the certificate options are replaced by a notice — you can still record the pass, but nothing will be issued until a template is added to the course.

Fail Student​

Marks the student as failed. This clears the Test Passed Date and Certificate Mailed Date, and locks the certificate.

Both actions work on a single student from the drawer, or on multiple students at once using the checkboxes in the class roster.


Cancelling a Registration​

Choose Cancel Registration. The form lists every payment made against the registration, and you decide what happens to each one independently.

Each refund carries its own refund method — to the card, cash, or check. See Payments for what each method can and can't do.

This replaced the old single blanket refund amount in v1.4.0. If a student paid across three payments, you now handle all three separately rather than netting them into one figure.

Cancelling marks the student as cancelled and cannot be undone. If you're moving a student to a different session, use Transfer Class or Defer Registration instead.

The buttons are Keep Registration and Cancel Registration.


Transferring a Student to Another Class​

Choose Transfer Class to move a student's enrollment — along with their payments — to a different class.

  1. The drawer shows the Current Class with its dates, location, and instructors.
  2. Pick a New Class. The current class is excluded from the list.
  3. The new class's details appear so you can confirm you picked the right one.
  4. Leave Send Email Notification checked so the student is told about the change.
  5. Click Confirm Transfer.

If the class you pick is full, you'll see "This class is full. The student is unable to be transferred" and the confirm button is disabled. Increase the class capacity first, or choose a different class.


Marking a No-Show​

A student who registered but never turned up can be marked as a no-show from the manage drawer. A No Show chip then appears in the class and student class tables.

  • Marking a no-show clears any result, test record and certificate-mailed date on the registration.
  • It can still be corrected after the registration has been cancelled.
  • It doesn't apply to online registrations — there's no session to miss.

A no-show is not a fail. A no-show never attended; a fail attended and didn't pass.


Deferring a Registration​

Choose Defer Registration when a student can't attend and wants to move to a future session that hasn't been scheduled yet.

Any payments on the current registration carry over as available credit on the deferred registration — nothing is lost.

The student moves to the waiting list, where you can re-register them into a future class. See Deferrals for what happens next.

Students can also defer themselves, either from their own class details or through the secure link in a class reminder email. Those requests land in the same Deferrals list.


Adjusting Tuition​

Use Adjust Tuition on the Payments tab to change what a single student owes for a class, without changing the class price for everyone else.

Adjustment Types​

For a discount you can enter either an Amount in dollars or a percent — click whichever field you want to use and the other one fills in automatically.

A Reason is required and is shown in the internal audit log. The New Fee Preview panel shows the base tuition, the discount, and the resulting fee before you apply anything.

For classes that are already free, the type is fixed to New price — you're setting a charge rather than discounting one.

Coupons​

A coupon on the registration appears as its own line in the breakdown, separate from the adjustment — the two are never mixed together. A coupon worth more than the tuition brings the total to $0, never a negative figure.

Reverting​

If an adjustment already exists, the drawer shows the current adjustment, who applied it, and when — along with a Revert to original button that restores the class price.

Common errors: "Discount cannot exceed the base tuition", "Please enter a reason", and "Please select an adjustment type".


Managing Payments​

Refund Payment​

Shows the original charge and takes an optional Reason, then processes the refund through the payment processor.

Delete Payment​

Removes a manually recorded payment entirely. This cannot be undone — use it only to correct a data-entry mistake, not to reverse a real payment. To reverse a real payment, use Refund instead.

Key Relationships​

  • Class: A registration always belongs to exactly one class. Transferring moves it to a different class; it doesn't create a second registration.
  • Student: A student can have many registrations, one per class. Each carries its own result, certificate, and balance.
  • Payments: Payments attach to a registration, not to the student in general — which is how a student can owe money on one class and be paid in full on another.
  • Certificates: A certificate belongs to a registration and is only issued once the student is marked as passed.
  • Deferrals: Deferring closes out the registration and creates a deferral record, carrying the payments across as credit.

Tips & Notes​

  • The drawer is the same from both sides. If you're working through a class roster, stay on the class page; if you're helping one student across several classes, work from their profile. You lose nothing either way.
  • Use the bulk actions for end-of-class work. Select every student on the roster, pass them in one step, and unlock and email their certificates at the same time.
  • Adjust tuition instead of editing payments. An adjustment records who changed the price and why; editing payment amounts to make the math work leaves no trail.
  • Transfer, don't cancel and re-add. Transferring keeps the student's payment history intact. Cancelling and re-registering starts the balance over.
  • Defer when there's no class to move to yet. Transfer needs a specific future class; deferral puts the student on a waiting list and holds their payments as credit until one is scheduled.
  • Check the Balance stat before a class starts. It's the quickest way to spot who still owes money, and Resend Payment Statement Email(s) is often all it takes to prompt payment.
  • Regeneration reasons are permanent. Write them for the next person who reads the version history, not for yourself today.
